Payment Terms & Billing Policies

Payment Schedules and Invoice Terms

Unless otherwise specified in a specific service agreement, Apex Pathfinders typically operates on a phased payment schedule, often involving an initial deposit followed by milestone payments or monthly billing for ongoing retainers. Invoices are issued electronically and are due net 30 days from the invoice date. All payment terms will be clearly outlined in your service proposal before project commencement.

Project Pricing and Change Order Processes

Project pricing is determined based on the scope, complexity, and estimated duration of the engagement. All project fees are fixed once agreed upon in the service proposal. Should there be a request for a significant change in project scope after the agreement is signed, a formal change order process will be initiated. This involves a clear description of the new requirements, revised deliverables, updated timelines, and any adjustments to the fee schedule, all requiring mutual written approval.

Late Payment Policies and Collection Procedures

In the event of late payments, a late fee of 1.5% per month (or the maximum allowed by law, if lower) may be applied to overdue balances. We will issue reminders for overdue invoices. Apex Pathfinders reserves the right to pause service delivery for accounts that are significantly overdue until payment is received. Should direct communication not resolve the outstanding balance, we may pursue legal remedies for collection, with all associated costs borne by the client.

Refund and Cancellation Terms

Cancellations by the client must be submitted in writing. Refund eligibility varies based on the type of service, completion stage, and specific agreement. Generally, no refunds are provided for services already rendered. For project cancellations, any non-refundable deposits are forfeited, and clients will be billed for work completed up to the date of cancellation plus any non-cancelable expenses incurred. Specific refund and cancellation policies will be detailed in your individual service agreement.

Confidentiality & Intellectual Property Protection

Intellectual Property Ownership and Usage Rights

Unless otherwise explicitly agreed upon in writing, all intellectual property (IP) developed by Apex Pathfinders specifically for a client during an engagement, including reports, analyses, frameworks, and tools, shall become the property of the client upon full payment for the services. Apex Pathfinders retains the right to use general knowledge and experience gained during the engagement, provided it does not involve the disclosure of specific client confidential information or IP.
